Project Coordinator

CML are looking for a Project Coordinator to join our well-established office in Sheffield. In this role, you will support the planning, coordination, and administration of projects, working closely with project managers, site teams, and clients to ensure smooth delivery. A good understanding of project management principles, aligned with the APM Body of Knowledge, will help you succeed in managing documentation, tracking progress, and facilitating effective communication across stakeholders.

Your Responsibilities
CML are looking for a Project Coordinator to support a growing portfolio of works across various Frameworks. You will play a key role in coordinating project activities, maintaining accurate documentation, and supporting Project Managers and site teams to ensure projects are delivered efficiently and in line with agreed plans.
You will assist in the preparation and tracking of project programmes, manage project records, and help facilitate clear communication between stakeholders. Drawing on an understanding of project management principles, you will contribute to effective planning, governance, and reporting across the project lifecycle.

The main duties of the role include:
Set up new Job Numbers either manually [for new Atrium Orders (buildings)]; or via data import for Monitor works in our Internal Software
Populate electronic folders with available documentation
Record the allocations of works remits and the allocation of resource to programme in internal and client software
Prepare appropriate site paperwork, including site files, job packs and scope packs, as well as documentation as requested for operational/programme review meetings; recording SMART actions and minutes from the meetings
Update as necessary, Client reporting software and liaise with the Client for updates and to close out actions as required
Liaise with Project Managers to coordinate the programme of works, maintaining an updated programme of all live/active works orders
Process buried service requests; F10 notifications; Land Searches; Process and book traffic management when required, co-ordinating requirements with traffic management supplier and Network Rail
Maintain all necessary trackers and reports including delivery dashboards/KPI control boards, and operative shift trackers for weekend and on-call requirements, implementing SMART actions to ensure timely completion
Collate change log and change management information directly from the programme and provide commercial forecast and planned v actual outputs (reported via internal system)
Liaise with CML Compliance Team to collate and submit periodic KPI data
Update Technical Query and Land Access Registers and submit weekly to Network Rail
Produce and submit completion packs to the client upon completion of physical works including uploading all compliant site paperwork to the relevant job folder / updating Client software
Liaise with the Delivery Manager to produce Contract Profile sheets / Success Slides etc
Provide a professional Reception service ensuring a courteous and warm welcome to staff and visitors, and telephone services for the main switchboard, processing calls quickly and efficiently
Provision of administrative support and facilities duties as required in order to support the business
Train and support Apprentices
Maintain commercial awareness on planning, delivery and close out of works, working closely with commercial colleagues
Any other duties as may reasonably be required.
Person Specification
To be successful in the role, you will:
Be confident liaising with Senior Managers and Clients, communicating at all levels
Be competent at reporting to strict deadlines
Have previous experience in a similar role within a Railways/Civils environment
The perfect candidate will have:
IT Skills, including MS Office - essential
Strong reporting and administration background - essential
PTS / Rail knowledge - desirable
12D (M7) qualification in traffic management - desirable
Formal APM qualifications (minimum APM Fundamentals) and experience with APM BOK - desirable
